PLEASE READ THESE CONDITIONS BEFORE BOOKING

  1. TUDOR HISTORY TOURS INCLUSIONS:

Tudor History Tours aim to offer a unique holiday experience which combines travel, attractions and activities. The Tours numbers can vary and are limited to no more than 8 persons except in the event of a special group tour.

The tour costs include transportation costs from and back to the agent’s agreed location with  transfers to and from  the nearest railway station at the beginning and end of the tour respectively. A supplement will apply if the transfer is to and from Heathrow or Gatwick airports.  

  1. Bed and Breakfast accommodation in all hotels.
  2. Such evening meals as detailed in the individual tour details
  3. Basic Entrance fees to all historic sites and attractions as listed on the tour
  4. Entrance fees to any additional attractions and performances are not included.
  5. Inclusive of UK applied taxes and VAT applicable at the time of booking

The cost of all other food and refreshment are to be borne directly by the client.

Whilst we will always endeavour to keep to the requested tour schedule, unforeseen circumstances beyond our control can affect the itinerary. Tudor History Tours cannot be held responsible for any such events, but will make every effort to add other attractions or event to the tours whenever possible at no extra cost.

We try our best to provide holidays which all our customers can enjoy but we do recognise that not all our holidays will be entirely suitable for people with disabilities, poor mobility or special needs. They involve, for example, a great deal of travelling and changes of hotel and it is not possible for the coach driver or tour guide to provide a sufficient level of care, particularly in cases of mobility problems. These are active holidays so please contact us in advance if there are any disability, mobility or special needs requirements so that we can discuss your requirements and whether your particular tour choice would be suitable.

All bookings require at least a 10% deposit at time of booking with full payment 6 weeks before the start date of the tour. Please contact us directly to discuss payment arrangements for group tours of 10 or more people. All payments can be made on line by Paypal or direct money transfer.

Your Holiday Contract is with Tudor History Tours Limited. Company Registration Number 6872384 whose Trading office is at 2 Old Orchard Place, Hailsham, East Sussex, England, United Kingdom, who operate the tours featured in this brochure. These Booking Terms and Conditions set out the terms on which you contract with us.

  1. HOW TO BOOK

You must be at least 18 years of age in order to book our tours, you can book using our website www.tudorhistorytours.com email: info@tudorhistorytours.com, or via telephone on + 44 (0)1323 844945 to check availability.  For large groups of 10 or more a provisional booking can be made and a deposit of 10% must be made at the time of the booking. Please contact us before making a group booking or a special tour booking.

Arrival/departure times at UK entry points or railway station must enable sufficient time for you to transfer to the tour start and end points.   Details of any transfer arrangements will be included in your confirmation booking.  We will make every effort to arrange transport to the tour location should you be delayed but you may be liable for any additional costs which may be incurred.

2.1 Special Requests

All special needs and requests must be discussed and agreed with us before booking. We will do our best to provide what you want but we cannot guarantee it. Some special requests such as dietary requirements may involve extra charges which may have to be paid for locally. Our liability for the provision of extra facilities for which a supplement is paid shall be limited to the brochure price of that supplement.

You will be asked to complete the Tudor History Tours booking form on-line. Completion of the booking form confirms your acceptance of the Terms and Conditions for and on behalf of all the members of your booking and the person who completes the booking form accepts responsibility for payment for all the persons. On receipt, we will send you a confirmation invoice. Your contract with us commences once the confirmation invoice has been issued. Please check this invoice carefully as soon as you receive it. Contact us immediately if any information which appears on the confirmation or any other documents appears to be incorrect or incomplete as it may not be possible to make changes later. Please contact us directly for group bookings of 10 people or more.

It is your responsibility to ensure that you have all the relevant travel documents in place before you, or members of your group, start your holiday.

  1. PAYMENT

All tours must be paid for with at least a 10% deposit and the balance paid no later than 6 weeks prior to the date the tour commences.   All bookings made within 6 weeks of departure must be paid in full at the time of booking. If you do not pay the full cost within 6 weeks of the tour date we reserve the right to treat your booking as a cancellation and the cancellation charges below will apply. No reminders or statements will be sent. Should one or more member(s) of a party cancel it may increase the per person holiday price of those still travelling. Please check with us.

Tudor History Tours operate a protected Clients Trust account with the Co-operative Bank. This guarantees the security of any monies paid for tours. Monies are only released after the tour is completed.  This is a requirement of The Package Travel, Package Holidays and Package Tours Regulations 1992.

  1. PRICE

We reserve the right to notify you of any increase in the brochure or advertised price before accepting your booking. After the confirmation invoice has been issued the price of your holiday is subject to the possibility of surcharges in limited circumstances. A surcharge will only be levied for variations in transportation costs, including the cost of fuel, taxes or fees chargeable for services, the exchange rate applied to the particular package or if the UK or Overseas Government or Regulatory Body introduce or increase taxes.

  1. VARIATION & CANCELLATION BY YOU

We will make every effort to assist you if you wish to alter your arrangements. Requests for an amendment or cancellation must be made in writing via our website www.tudorhistorytours.com email: info@tudorhistorytours.com or by post at 2 Old Orchard  Place, Hailsham, East Sussex BN27 3HY England. An administration fee of £50 may be payable together with any non-refundable expenditure incurred.  This will be confirmed with you.

All cancellations must be advised by you in writing, and signed by the signatory of the booking form. Cancellations are effective on the day they are sent to us and we will require evidence of posting. The following cancellation charges will be payable by you from the date of the expiry of the cooling off period and depending upon the number of days prior to departure we receive your notice of cancellation.

Days prior to departure date & percentage of cancellation charges

  • More than 43 days Deposit only
  • 42-31 days 50% of tour cost
  • 30 days or less 100% of tour cost

If a holiday is booked and paid for less than 30 days before the start date of the holiday, and the client acknowledges the right to cancellation will be lost, there will be no refund.

Alternatively, you have the right to transfer the booking to another person provided that they satisfy all the conditions applicable to the package and as long as you give Tudor History Tours at least seven days written notice of your intention to do so.

If at any time during your holiday, you choose to terminate your holiday of your own volition for whatever reason, Tudor History Tours will not be liable for any additional expenses incurred and no refunds will be given for any part of the holiday not taken.

  1. VARIATION BY US

We start planning the holidays we offer many months in advance. Occasionally we have to make changes to and correct errors in the brochure and other details both before and after bookings have been confirmed and cancel confirmed bookings. Whilst we always endeavour to avoid changes and cancellations we must reserve the right to do so. We will only cancel your confirmed booking 6 weeks or less before the tour commences where you have failed to comply with any requirement of these booking conditions entitling us to cancel (such as paying on time) or where we are forced to do so as a result of circumstances outside of our control.  Minimum tour numbers apply (4 persons) and if Tudor History Tours has to make a major change or cancel the holiday after it has been confirmed but before the start date of the tour, you will have the choice of

  1. Accepting the cancellation or changed arrangements or
  2. Taking another available holiday with the Company (if it is more expensive the client must pay the difference but if it is cheaper the company will make an appropriate refund) or
  3. (in the case of a major change) cancelling the holiday and receiving a full refund minus any credit card charges.

Most changes will be minor, such as timed attendance at attractions. A significant change is one, which materially alters your tour and would include, for example, a change of start and departure dates or quality of accommodation. If a significant change is to be made, we will endeavour to inform you as soon as is reasonably practicable if there is time before your departure. In the event of a significant change occurring within four weeks of your departure date, we will, if possible, offer alternative arrangements if necessary or, if these are not acceptable to you, make a full refund to you minus the card payment charge. Compensation will not be payable and no liability beyond offering the above mentioned choice can be accepted where we are forced to make a change or cancel as a result of unusual and unforseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care. No compensation will be payable if we cancel as a result of your failure to comply with any requirement of these booking conditions.

6.1 Hotel accommodation

Accommodation throughout the UK varies and our range of hotels includes everything from 4 star establishments to homely, family-run hotels. We go to great lengths to ensure that your holiday accommodation will be of an acceptable standard and every effort will be made to provide the type of room that you have booked. Hotel grading and classification systems vary widely throughout the UK so we advise you to look upon them merely as a general guide. Rooms with private facilities will include EITHER bath and WC OR shower and WC. Whilst we will endeavour to meet your preference, we cannot guarantee that your preference will be met.

6.2. Room classification

When booking a double room you should clearly request either a double bed or twin beds, otherwise we shall assume that either is acceptable. Please note that the location, position size or type of any room cannot be guaranteed. Room allocation is the responsibility of the hotelier. However, all special requests, such as low floor rooms are passed on and we make every endeavour to see that they are considered.

Please note that a double room will have a double bed. Some may have a single king size-base with two mattresses. Twin bedded rooms will have two single beds. All beds meet UK specifications. Single rooms are always in short supply and early booking is advised. If a payment for single room supplement is shown against the holiday then that price must be paid. The payment of a single room supplement does not imply that any room allocated will be anything other than a single room. It may necessary to change the location of one of the overnight hotels and we will do our very best to notify you in advance if such a change is necessary but we reserve the right to make such changes without notice.

Some hotels may find it difficult to provide for special dietary needs and advance notice is required but these cannot be guaranteed. Some amenities within the hotel (where not specified within the tour details) may include an additional charge. In many hotels you may be asked to share a table in the restaurant with other guests. Many of the hotel buildings we use are historical rather than purpose built and therefore there may be no lifts and there will be stairs. Most UK hotels include tea or coffee making facilities in the bedrooms. Where this facility is provided, there may be a charge for additional beverage supplies. For your own safety, if bath or shower mats are provided then please use them. If they are not, then please request one from the hotel receptionist.

  1. FORCE MAJEURE

We do not accept liability for any loss, damage or expense arising from a change or cancellation to your tour which occurs as a result of unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided with all due care. Such events would include, for example, war, threat of war, riot, terrorist activity, natural or nuclear disaster, technical problems with transport, fire or adverse weather conditions, or other similar events beyond our control. We do not accept responsibility for you if you contravene any law or regulation of any of the attractions visited during your tour.

  1. HEALTH

At the time of printing no vaccinations are needed for any of the destinations featured in our brochure. We recommend you check with your doctor whether vaccinations are required when you have booked your tour.  As these tours are active holidays with a lot of walking on some days, please ensure that you are at a level of fitness where you will be able to enjoy the tour without impairing your health.

Any clients with mobility restrictions should be aware of the amount of walking we do during our tours and that there are climbing of steps in castles and other attractions, some of which also have steep entrances.  Due to the age of some of the buildings and attractions visited during our tour a number do not have disabled facilities available. You must therefore check directly with Tudor History Tours as to whether or not the chosen tour is suitable for your needs before booking.  We can provide an honest assessment of accessibility of all the venues and sights we travel to. 

  1. PHOTOGRAPHS

By completing our booking form and your acceptance of these Terms and Conditions, you are also agreeing that we may, if appropriate, use any photographs taken by us for publicity purposes in our website and our brochure.

  1. TOUR PARTICIPATION

It is a condition of participation in one of our tours that you agree to accept the authority and decisions of our employees, tour leaders and representatives whilst on tour with us.

Additions to your group may be accepted subject to availability.

If you, or a member of your party, are persistently disruptive or seriously affect the enjoyment of other holidaymakers, we have the right to terminate the contract with you forthwith. In such circumstances we will have no further obligations of liability to you. The driver or tour guide is entitled to refuse boarding to you if, in his opinion, you are unacceptably under the influence of drink or drugs. If you are disruptive during the journey, the coach driver may have to divert to off load you. In those circumstances you will also be liable to us for the costs incurred by the diversion. For the comfort and enjoyment of the rest of the passengers you may not:

  1. bring a pet, livestock of any other animal other than a Registered Assistance dog
  2. play a radio or personal stereos on a coach without personal headphones
  3. smoke at any time on the coaches or at any venue where smoking is prohibited as this is illegal under UK law
  4. bring alcohol onto the coach for the purpose of consumption of it as this is illegal under UK law.

NB: You are responsible for ensuring that you are at the correct pick up point, on time, throughout the holiday. Failure to do so may result in you being charged for any additional expenses incurred by Tudor History Tours to continue the tour. We would also ask you consider other passengers and refrain from using mobile phones on the coach.

10.1 Luggage

Your suitcase should weigh no more than 18 kilograms (or 39 pounds) and should be kept to a medium sized one. Should you choose to utilise one suitcase between two persons, then the maximum weight should again be no more than 18 kilograms. We reserve the right to impose charges for excess baggage weight. Health and Safety regulations may prevent suitcases weighing in excess of this, from being lifted onto the coach. A small hold-all may also be taken on board the coach. You MUST ensure that your luggage is labelled with your name at all times. On overnight hotel stops, ALL luggage must be removed from the coach for security reasons.

Because of the nature of the hotels that we use, there may not be lifts or porters to carry your luggage.  You must therefore ensure that any luggage can be carried by you to your rooms if necessary.

10.2 Lost Property

Any items of lost property found on the coaches will be handed to the tour guide during the tour. Any items found after the tour ends will be handed into the tour operator’s office as soon as possible where it will be available for collection. We cannot, however, accept responsibility for any items of lost property left on the coach.

  1. OUR RESPONSIBILITY FOR YOUR TOUR

We accept responsibility for ensuring that your tour is as described in our brochure (subject to any significant changes that you are advised of before departure) and the services offered reach a reasonable standard.

We accept responsibility for personal injury or death caused by the proven negligence of our employees, agents, suppliers or sub-contractors acting within the course of the employment and scope of their authority. We do not accept responsibility where the failure to perform or improper performance was due to:

(i) Your own acts or omissions or the fault of any member included in your booking; (ii) Acts of a third party not connected with the provision of your tour and which were unforeseeable or unavoidable or (iii) An event which neither we nor the supplier of the service(s) could have foreseen or avoided even with all due care. If you suffer death, injury or illness during your tour arising out of an activity, which does not form part of the inclusive arrangements booked with us, we are not liable in any way but we will offer assistance if and when possible.

There are occasions when coaches are delayed due to traffic congestion etc. We cannot accept liability for these delays, howsoever caused. Whilst we go to great efforts to ensure that everything functions correctly to ensure a smooth and enjoyable holiday there are occasions when mechanical items can fail. In the event of any such failure Tudor History Tours will attempt to minimise any inconvenience but we cannot be financially liable should such occur.

  1. COMPLAINTS PROCEDURE

In the event that you experience any problems with your holiday you MUST advise our tour leader so that we can attempt to resolve the problem at once.

If the problem cannot be resolved, please complete a complaint form, which can be downloaded from our website and we will undertake a full investigation and report back to you.

You must advise us in writing of any complaint within twenty-eight days of the end of the tour.

Your failure to take either of these steps will affect our ability to investigate your complaint and may impact the way your complaint is dealt with. In the event of any dispute arising between us, the dispute will be governed by the laws of England& Wales under the exclusive jurisdiction of the English courts.

  1. PASSPORTS, VISAS, INSURANCE

You and all members of your party must obtain appropriate passports and visa documentation.  Failure to do so does not constitute a valid reason to cancel without incurring charges.  All members of the party must obtain  travel insurance of adequate cover and must provide us with full details of your insurer at the time of booking. We do not accept responsibility for any loss or expense arising from your failure to secure adequate insurance cover and travel documentation. 

  1. PROGRAMME ACCURACY

We have spent a great deal of time and care ensuring that the details of the tours offered on our program are accurate at the time of printing. Unfortunately, there may be times when an advertised facility is modified or not available due to, for example, adverse weather conditions or poor volume of support or other factors beyond our control. We therefore reserve the right to alter or vary the contents of the program at any time before we enter into a contract with you.  In these circumstances we will notify you of such changes prior to confirmation of your booking.

The programme and prices are valid between 1st September 2023 and 30 September 2024.

  1. PRIVACY

Your personal details are processed in accordance with UK laws and are not sold or passed on to any third party whatsoever for any reason.  Your communications with Tudor History Tours are used solely by us to provide information and services to you directly.  To comply with GDPR please see our separate privacy statement.
